Position Description
Assist with all service department needs relating to customer service, scheduling, supporting field crews, supporting sales, and general administration. File and maintain hard-copy files/documents electronically. Create and maintain reports for department as required. Respond to customers timely. Organize all paperwork to support field crews such as creating purchase orders, creating service tickets, billing, and timesheets.
Tasks
Handle customer roof leak calls and create new service repair tickets. Assist with customer questions and needs.
Prepare proposal service tickets and collect deposits.
Process receipts, time sheets, pictures and service paperwork as necessary.
Create purchase orders prior to material purchases.
Handle scheduling of crews for next day and prepare all paperwork to send with the technicians.
Notify customers of when crews are scheduled to be onsite.
Handle close out of ticket with customer and with Tecta/manufacturer (if required).
Handle repair estimate calls and provide leak information to estimator.
Process service billing.
Scan and index all project paperwork in Docuware.
Attend weekly service ticket analysis meetings and other department meetings.
## Job Requirements
Qualifications
Required: High school diploma.
Must be proficient in Microsoft Word, Excel, Outlook, and Adobe. Experience in document management software and project management software is a plus.
Experience in high volume call industry is required. Strong candidates will have experience with multi-tasking including answering phones, scanning/document retention, faxing, assisting with all departmental needs, and handling day-to-day clerical functions.
Must have good phone etiquette and be strong in customer service.
Must read and write English, proficiently. Must be able to understand and communicate effectively, both orally and in writing.
Preferred candidates will have experience with a roofing company or a construction company.
Experience in a multi-tasking capacity with both handling day-to-day clerical functions of general office administration and assisting other departments with their needs.
Must have experience with accounts payable.
Must have experience with a project cost/accounting system such as Navision, Peachtree, Timberline, or Great Plains.

Detail oriented and able to multitask
Must be self-motivated and require little supervision. Must also be organized and a quick learner.
