The Hugh Kaul Precession Medicine Institute is looking for an Administrative Associate who can thrive in a fast-moving center.
This role will serve as administrative support to the Director, leadership team and various other stakeholders.
Key Duties, Primary
Responsibilities:
Under minimal supervision, to provide essential administrative and business support services within a school, department or unit which may include budget maintenance, personnel processing, policy communication, facilities/space management, database/files management, office/clinic management or patient flow management Coordinate programmatic activities functions Conduct special projects relating to an office's administrative operations at the direction of the superior Maintain vendor relationships Interface with internal and external constituencies May provide confidential secretarial/office support functions for department chairs, large division directors, deans or other organization executives Typically supervises clerical/secretarial staff May assist in preparation and submission of grants May be responsible for equipment/furniture repair May assist with grants and contracts administration May prepare financial reports and analyses Serve as Primary contact for the PMI Center Oversees Seminar Series Facilitate faculty recruitment process Manage all conference room and admin calendars Manage/oversee/order office supplies Process payment requests for invoices and POs Processing One Card Request Forms for new employees, Physical Security, request internal and external access Ordering lunch/refreshments for events Assisting with International Students and International Scholars Preparing Power Point and Excel Knowledge, Skills, Abilities, and Worker Characteristics:
Excellent communication and people skills Ability to manage various office administrative aspects Precision and attention to detail Ability to perform work accurately, efficiently and with minimal errors Have good computer skills using Microsoft Office programs Have strong troubleshooting abilities Ability to multi-task Ability to work independently Organizational skills Prioritization skills Written and verbal communication skills Hourly Pay Range - $18.
